AEGON UK has specified KI 800 Series Filing and Storage System for their new Edinburgh Park offices. Premises Planning Manager, Jack Mustard comments: ‘We first looked at KI at Spectrum ’99 – and were impressed by how knowledgeable their people are. They didn’t want to just sell a product – they wanted to understand our needs and develop a system solution’.
AEGON UK is owned by the Dutch company AEGON NV which is one of the world’s largest insurance companies, and parent company of Scottish Equitable plc. Rapid growth, both organically and through acquisition, meant that AEGON UK needed to expand its Edinburgh estate. AEGON House is home to over five hundred staff primarily involved in the company’s asset management operations. It was clear from the outset that filing and storage was to be a key element at AEGON House. Jack Mustard explains:
‘The department’s filing requirements were quite specific and our existing tambour cabinets did not match these requirements. We wanted a lateral drawer system which automatically ensures a tidy office. We worked closely with document management specialists JG Regan Associates, who carried out a filing audit. As a result, we moved away from lever arch files and now use, very successfully, a flexible box system which simply drops into the KI drawers. It’s remarkable how much space this saves. We also chose 36” and 42” wide units – which are actually far more space efficient than metric cabinets, even though numerous metric units were available to us from KI.’
‘We’re very happy with the KI solution and the service we receive from the local dealer Cord Contracts,’ comments Jack Mustard. ‘The system was competitively priced at tender, we’ve saved a lot of space – and it looks good!’
